This Privacy Policy explains how Fleetly collects, uses, stores, discloses, and protects personal information. Fleetly is committed to handling personal information responsibly and in line with New Zealand privacy requirements.
1. Information we collect
Fleetly may collect personal information including name, email address, phone number, company or business name, account login details, saved vehicles, enquiry details, requested vehicle type, requested dates, pickup or service location, messages or notes you submit, supplier account details, supplier vehicle listing content, uploaded supplier logos and vehicle photos, lead, booking, invoice, dashboard activity, communications with Fleetly or suppliers, IP address, device, browser, log, and usage information, and information required for security, fraud prevention, support, and marketplace administration.
2. How we collect information
We may collect information directly from you, when you create an account, save vehicles, click Request to book, submit an enquiry, communicate with Fleetly, when suppliers use Fleetly tools, automatically through platform usage, logs, cookies, local storage, and analytics, from service providers used to operate Fleetly, and from public or business sources where reasonably necessary for verification, support, or marketplace safety.
3. Why we collect information
Fleetly collects and uses information to operate the platform, create and manage accounts, verify email addresses, connect customers with suppliers, process enquiries and booking requests, show saved vehicles and account history, support supplier dashboards, support admin moderation, manage listings and availability, calculate booking, invoice, and marketplace records, provide support, improve reliability and user experience, prevent fraud, comply with legal obligations, and send service communications.
4. Sharing customer information with suppliers
When you click Request to book, submit an enquiry, or otherwise request supplier contact, Fleetly may share relevant information with the supplier. This may include name, company, email, phone, requested vehicle, requested dates, pickup or service location, and enquiry details. Suppliers must use this information only for legitimate enquiry, booking, support, and related business purposes.
5. Sharing information with service providers
Fleetly may use trusted service providers for hosting, database and authentication, file storage, email delivery, analytics, security, error monitoring, customer support, invoicing, or payment tools if added later. These providers may process information only as needed to provide services to Fleetly. Some providers may store or process information outside New Zealand. Where this occurs, Fleetly will take reasonable steps to ensure appropriate privacy protections apply.
6. We do not sell personal information
Fleetly does not sell personal information to advertisers or unrelated third parties.
7. Cookies and analytics
Fleetly may use cookies, local storage, logs, and analytics to keep users signed in, remember preferences, improve performance, understand platform usage, detect fraud or abuse, and support security. Disabling cookies may affect platform functionality.
8. Marketing communications
Fleetly may send marketing messages where permitted by law. Commercial electronic messages with a New Zealand link must comply with anti-spam rules, including accurate sender information and unsubscribe handling where required. Service-related communications may still be sent where needed to operate the platform.
9. Storage and security
Fleetly takes reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration, and destruction. Security measures may include authentication, email verification, role-based access, supplier ownership checks, admin controls, secure hosting, encrypted connections, access restrictions, audit logs, rate limiting, backups, and monitoring where appropriate. No online system is completely secure. You should keep your login details confidential.
10. Retention
Fleetly keeps personal information for as long as reasonably needed for platform operation, account management, customer and supplier support, legal compliance, accounting and tax records, disputes, fraud prevention, marketplace integrity, audit, and security. Fleetly may retain certain records after account closure where legally or operationally necessary.
11. Access and correction
You may request access to personal information Fleetly holds about you. You may request correction of information that is inaccurate, incomplete, or outdated. Fleetly may need to verify your identity before responding.
12. Account deletion
You may request deletion of your account. Fleetly may retain certain records where reasonably required for legal, accounting, fraud prevention, dispute resolution, safety, or legitimate business purposes.
13. Privacy breaches
If Fleetly becomes aware of a privacy breach that is likely to cause serious harm, Fleetly will take steps required under New Zealand privacy law. This may include notifying affected individuals and the Privacy Commissioner where required.
14. Children
Fleetly is intended for adult and business users. Users must not create an account or submit enquiries if they are under the age required to legally enter relevant booking or hire arrangements.
15. Changes
Fleetly may update this Privacy Policy from time to time. Updated versions apply from the date published unless stated otherwise.
